Getting Started
Adding your first reel is easy:
- Go to the Reels page from the sidebar
- Click the "+ Add Reel" button
- Select a cable type from the dropdown (or add a new one in Settings)
- Enter the reel tag (your identification number), original footage, current footage, and cost per foot
- Select a storage location
- Click "Add Reel" to save
Your reel will now appear in the inventory and be ready for checkout.
To invite team members to your CableStock account:
- Go to Settings from the sidebar
- Click on the "Team Members" tab
- Click "Invite User"
- Enter their email address and select their role (Admin, Lead Tech, or Technician)
- Click "Send Invite"
They'll receive an email invitation to join your team. Once they sign up, they'll have access based on their assigned role.
Reels are spools of cable or wire that you track by footage. Each reel has a unique tag, and you track how much footage is used on each job. Great for:
- Coax cable
- Cat5/Cat6 cable
- Speaker wire
- Any cable sold by the foot
Materials are bulk items tracked by quantity (not footage). Perfect for:
- Connectors and fittings
- Wall plates
- Mounting hardware
- Any consumable item
When you sign up for CableStock, you get 14 days of full access to all features - no credit card required.
During your trial you can:
- Add unlimited reels and materials
- Invite team members
- Use all reporting features
- Generate QR codes
When your trial ends, you'll be prompted to select a subscription plan to continue using CableStock. Your data is saved and will be waiting for you.
Managing Reels
- Go to the Reels page
- Find the reel you want to check out
- Click the "Check Out" button
- Select the technician taking the reel
- Select the job/project from the dropdown (or choose "Other" for one-time jobs)
- Add any notes if needed
- Click "Check Out" to confirm
The reel will now show as "Checked Out" and appear in the Currently Checked Out report.
- Go to the Reels page
- Find the checked-out reel (it will show the tech's name)
- Click the "Check In" button
- Enter the footage returning - this is how much is left on the reel
- The system will automatically calculate footage used
- Select the return location
- Click "Check In" to confirm
The footage used will be logged to the job for reporting, and the reel's current footage will be updated.
A reel shows as "Depleted" when its current footage reaches zero. This means the reel is empty and no longer has usable cable.
Depleted reels:
- Cannot be checked out
- Are hidden from the main view by default (use the status filter to see them)
- Still appear in historical reports
- Can be deleted if you no longer need the record
To delete a reel:
- Go to the Reels page
- Find the reel you want to delete
- Click the "Delete" button (trash icon)
- Confirm the deletion
Note: Only Admins can delete reels. You cannot delete a reel that is currently checked out - check it in first.
Currently, deleted reels cannot be restored through the app. Deletions are permanent.
Tip: If you accidentally deleted important data, contact support immediately at support@cablestock.io. We may be able to restore from a backup within 30 days of deletion.
Managing Materials
- Go to the Materials page from the sidebar
- Click "+ Add Material"
- Select a material from your library (set up in Settings)
- Enter the quantity per unit and number of units
- Select a storage location
- Optionally enter cost per unit and notes
- Click "Add Material" to save
Tip: Set up your materials library in Settings first to make adding inventory faster.
Material quantities are tracked through checkouts and check-ins:
- Check Out: Select how many units a technician is taking
- Check In: Enter how many units are being returned and how many were used
The system automatically calculates remaining inventory. You can also see usage per job in the Reports section.
Reels track cable by footage - you check out a reel and return it with less footage. Each reel is individually tracked.
Materials track bulk items by quantity - you check out a number of items (like 10 connectors) and record how many were used.
Use Reels for cable/wire, use Materials for everything else.
Jobs & Projects
- Go to the Jobs page from the sidebar
- Click "+ New Job"
- Enter the job name (e.g., customer name or project name)
- Add the job address
- Optionally add notes and assign team members
- Click "Create Job"
The job will now appear in checkout dropdowns across the app.
You can assign team members when creating or editing a job:
- Create a new job or click "Edit" on an existing job
- In the "Assigned Team" section, select team members from the dropdown
- Save the job
Assigned team members can see the job in their dashboard and will be suggested when checking out materials to that job.
Jobs can have three statuses:
- Active: Ongoing work, appears in checkout dropdowns
- Completed: Finished job, no longer shows in checkouts
- Archived: Hidden from normal views, kept for records
To change status:
- Go to the Jobs page
- Click the job to view details
- Click "Mark Complete" or use the status dropdown
There are two ways to see job material usage:
Option 1 - Job Details:
- Go to Jobs and click on the job
- View the "Materials Used" section
Option 2 - Reports:
- Go to Reports
- Select "Job Costing" report
- Click on the job to see detailed breakdown with costs
Team & Users
- Go to Settings > Team Members
- Click "Invite User"
- Enter their email address
- Select their role
- Click "Send Invite"
They'll receive an email to join your team. The invitation expires after 7 days.
Admin: Full access to everything
- Add/edit/delete inventory
- Manage team members
- Access all reports and settings
- Manage billing
Lead Tech: Day-to-day operations
- Check out/in inventory
- View all inventory
- Create jobs
- Cannot delete inventory or manage users
Technician: Limited field access
- View items checked out to them
- Check in their own items
- Create material requests
- Cannot check out or access reports
- Go to Settings > Team Members
- Find the team member
- Click the role dropdown next to their name
- Select the new role
Changes take effect immediately. Only Admins can change user roles.
- Go to Settings > Team Members
- Find the team member
- Click the "Remove" button
- Confirm the removal
The user will immediately lose access to your company's data. Their past activity (checkouts, etc.) will remain in your records.
QR Code Tags
- Go to the Reels page
- Click on a reel to view its details
- Click the "QR Code" button
- A QR code will be generated for that reel
Each reel automatically has a unique QR code - you don't need to "create" it, just access it.
To print a single QR tag:
- Open the reel details and click "QR Code"
- Click "Print" or use your browser's print function
To print multiple tags at once:
- Go to Reels
- Select multiple reels using the checkboxes
- Click "Print QR Tags" in the toolbar
Tip: Use weatherproof label paper for tags that will be in the field.
When you scan a CableStock QR code with your phone:
- Your phone opens the CableStock app (or website)
- You're taken directly to that reel's detail page
- You can quickly check out, check in, or view the reel's history
This makes field operations much faster - no searching through lists!
Yes! QR codes link to the reel's live data. When you scan a QR code, you always see:
- Current footage remaining
- Current status (in stock, checked out, depleted)
- Who has it checked out (if applicable)
- Complete history
You never need to reprint a QR code when data changes - the code stays the same, but the data it shows is always current.
Requests
Material requests let technicians ask for materials they need for a job without having direct checkout access.
This is useful when:
- Technicians are in the field and need supplies delivered
- You want oversight before materials leave inventory
- Planning materials for upcoming jobs
Requests are submitted by technicians and approved/denied by Admins or Lead Techs.
- Go to the Requests page
- View pending requests
- Click "Approve" or "Deny"
- Add a note if denying (optional)
When you approve a request, the materials are automatically checked out to the requesting technician.
All team members can create material requests, but it's primarily designed for Technicians who don't have direct checkout access.
Admins and Lead Techs can also create requests, but they typically just check out materials directly instead.
Reports
- Go to Reports from the sidebar
- Click the "Job Costing" tab
- Select your date range
- Click "Run Report"
- Click on any project to see detailed breakdown
The report shows footage used and estimated cost per job based on your cable cost-per-foot settings.
Every report in CableStock can be exported:
- Run the report you want to export
- Click the "Export CSV" button
- A CSV file will download automatically
CSV files can be opened in Excel, Google Sheets, or any spreadsheet program for further analysis.
CableStock offers several report types:
- Job Costing: Footage and cost per project
- Inventory Summary: Total value, counts, and breakdown by category
- Technician Activity: Checkouts and usage per team member
- Low Stock: Items below minimum thresholds
- Currently Checked Out: All items in the field
- Usage Trends: Activity over time
Billing & Account
- Go to Settings
- Click on "Billing"
- Click "Change Plan"
- Select your new plan
- Enter payment details if needed
Upgrades take effect immediately. You'll be prorated for any time remaining on your current billing period.
- Go to Settings > Billing
- Click "Update Payment Method"
- Enter your new card details
- Click "Save"
Your new payment method will be used for all future charges.
- Go to Settings > Billing
- Click "Cancel Subscription"
- Tell us why you're leaving (optional)
- Confirm cancellation
You'll retain access until the end of your current billing period. Your data will be saved for 30 days in case you change your mind.
When your 14-day trial ends:
- You'll be prompted to select a subscription plan
- Your data is not deleted - it's all saved
- You'll have limited access until you subscribe
We'll send reminder emails before your trial ends so you're not caught off guard.
Troubleshooting
Try these steps:
- Check your email: Make sure you're using the same email you signed up with
- Reset password: Click "Forgot Password" on the login page
- Check spam: Password reset emails sometimes go to spam
- Clear cache: Try clearing your browser cache or using incognito mode

If your inventory appears empty or data is missing:
- Check filters: Make sure you don't have filters applied that hide items
- Check your role: Technicians only see items checked out to them
- Refresh the page: Sometimes data needs a refresh to appear
- Check internet: Make sure you have a stable connection
If data was accidentally deleted, contact support immediately - we may be able to restore it.
Try these steps to improve performance:
- Clear browser cache: Old cached data can slow things down
- Check your connection: Slow internet affects app speed
- Close other tabs: Too many open tabs use memory
- Try a different browser: Chrome and Edge work best
- Use the mobile app: Often faster than the browser

If you accidentally deleted a reel, material, or job:
- Don't panic - contact us right away
- Email support@cablestock.io with:
- Your company name
- What was deleted
- Approximate time of deletion
We keep backups and can often restore deleted data within 30 days of deletion.
